Smart Hotel Management System

01 Starting Point
As part of the Complex Systems course, we were asked to design a digital system that optimizes work processes, improves decision making, and provides real time control over multiple departments.
We chose to focus on the hotel industry - an environment that requires constant coordination and fast, accurate responses.
The main challenge we identified was the overload of information and the use of multiple systems that made daily management inefficient and stressful.

02 The Goal
To create a centralized dashboard for the shift manager - a single interface that gathers all operational data in real time:
room occupancy, cleaning status, staff availability, urgent alerts, daily tasks, guest requests, and facility updates.
The goal was to streamline operations, reduce human error, and improve both internal workflow and guest experience.
03 Process
User Research - We began by understanding the daily routine of Maayan, the shift manager persona.
Through observation and analysis of real hotel operations, we identified her main challenges - switching between multiple systems, delayed communication between departments, and difficulty tracking task progress in real time.
The research emphasized the need for clarity, accessibility, and cross department synchronization within one unified tool.
Information Architecture - Based on the research, we built a structured flow that organizes large amounts of operational data into a logical and intuitive hierarchy.
Each dashboard module was designed to serve a distinct purpose - from room occupancy to guest requests while maintaining seamless navigation between them.
This structure allows users to focus only on what’s relevant at a given moment, ensuring quick access and minimal cognitive load.
UI Design - Our visual approach was guided by the idea of calm control.
We designed a clean and modern interface that visually separates content levels, highlights urgency through subtle color cues, and supports decision-making under pressure.
The layout uses clear grids, consistent spacing, and visual balance to reduce stress and help the user grasp complex data at a glance.
Visual Language - The interface uses Rubik typography - chosen for its readability and approachable character - combined with a soft, hotel-inspired palette of blues and neutrals, creating a professional yet relaxed atmosphere.
Warm yellow tones mark alerts and priorities without disrupting the calm visual flow.
Custom designed icons were crafted for clarity and quick recognition, ensuring smooth navigation throughout the dashboard.

04 Final Design
Occupancy Overview - Displays the real-time status of every room (vacant, occupied, cleaning, maintenance).
Staff Overview - Monitors active employees per department to balance workload efficiently.
Cleaning & Maintenance - Centralized monitoring of room readiness and maintenance issues.
Guest Requests & Daily Tasks - A clear overview of requests, tasks, and priorities for the day.
Facilities Management - Real-time data about the hotel’s spa, restaurant, pool, and gym, with direct contact options for coordination.
Together, these modules create a unified control system that supports the shift manager in making quick, informed decisions.

The Events Calendar provides the shift manager with a clear overview of all hotel activities -
meetings, maintenance tasks, and staff schedules - in one organized interface.
The clean, minimal design allows quick navigation between days and months, while displaying key details such as time, contact, and department for each event.
This feature helps maintain smooth coordination, ensures no task is overlooked, and gives the manager full control over daily and long-term planning.
